Terms of service

1. Agreement

These terms govern your use of the AnimalTrace marketing website at animaltrace.ai and the AnimalTrace application at app.animaltrace.ai (together, the "Service"), operated by AnimalTrace, Inc. ("we", "us"). By creating an account or using the Service you agree to them. If you do not agree, do not use the Service.

If you accept these terms on behalf of an organization, you confirm you are authorized to bind it, and "you" means that organization.

2. Accounts

You must be at least 18 years old to create an account. Give accurate registration information and keep it current. You must confirm your email address before you can sign in. You are responsible for activity under your account and for keeping your password secure; tell us promptly at info@animaltrace.ai if you suspect unauthorized use.

3. Plans, billing, and limits

Client Free costs nothing and carries the lower plan limits published on our pricing page. Client Pro is a paid subscription billed monthly or annually in advance through our payment processor. The founding rate is locked for the life of the subscription; if the founding offer closes, existing subscriptions keep that rate and new subscriptions move to the then-current list price. Organization plans are agreed separately in writing.

Subscriptions renew automatically for the same period until cancelled. You can cancel at any time from your account; cancellation takes effect at the end of the period you have paid for. Except where the law requires otherwise, fees already paid are not refundable.

Plan limits — animals, storage, saved reports, evidence packets, and AI extraction pages — are published on the pricing page and enforced in the Service. Two meters can generate usage charges beyond the subscription fee: AI extraction pages and evidence packets. Nothing else does; every other limit is a cap that prompts an upgrade rather than a charge.

Usage charges are opt-in and bounded by a spend cap on every paying account. When the cap is reached, metered processing pauses rather than continuing to bill. You may also buy prepaid credit and capacity packs, which do not expire.

We may change prices. For an existing paid subscription we will give at least 30 days' notice by email, and the change applies from your next renewal.

4. Your content

Your animal records, uploaded documents, and everything else you put into the Service remain yours. You grant us only the licence needed to operate the Service for you: to store, process, display, back up, and transmit that content, including sending documents you submit for extraction to our AI processor, and to share it with recipients you choose.

You confirm you have the right to upload what you upload, and that doing so does not breach anyone else's rights or any agreement you have with a laboratory, registry, or other source. You can export your records at any time; see the privacy policy for data rights.

5. Acceptable use

You agree not to:

• upload content you have no right to upload, or that is unlawful;
• misrepresent an animal's identity, provenance, health, or genetics, or use the Service to produce a misleading record for a buyer, registry, or regulator;
• present a report or Passport as something it is not, or alter one after issuance;
• attempt to access accounts, organizations, or records you are not authorized to see;
• probe, scrape, overload, or interfere with the Service, or circumvent plan limits, spend caps, or access controls;
• resell or provide the Service to a third party except as expressly agreed with us.

6. What the Service is not

It is not veterinary advice. AnimalTrace does not diagnose, prognose, treat, or provide emergency guidance for any animal. Health-related output identifies gaps and questions for a qualified professional. Always consult a veterinarian.

It is not an issuing authority. A laboratory remains the authority for the result it issued, and a registry for its official record. We preserve, organize, and help you verify their evidence; we do not certify genetic results, confirm parentage, or decide registry outcomes.

It does not make your decisions. Breeding analyses — recessive risk, inbreeding coefficients, ranked mate recommendations, coat-colour outcomes — are calculated from the data on record and are only as good as that data. They show their inputs, assumptions, and gaps precisely so you can weigh them. The decision, and responsibility for it, stays yours.

7. AI-assisted features

Some features use AI to read documents and summarize or explain evidence. AI output is a proposal that carries its source and confidence, and it does not by itself become an official laboratory result, registry record, or verified pedigree. Uncertain values wait for human confirmation. Review AI-assisted output before relying on it or passing it to anyone else. Section 6 applies to it in full.

8. Availability and changes

We aim to keep the Service available but do not promise uninterrupted access, and we may modify, suspend, or discontinue features. Features labelled experimental, beta, or roadmap may change or be withdrawn. Where a change would materially reduce functionality you pay for, we will give reasonable notice.

9. Suspension and termination

You may stop using the Service and delete your account at any time. We may suspend or terminate access if you materially breach these terms, if your payment fails, or if we must do so by law — with notice where practicable, and immediately where the breach risks harm to others or to the Service.

After termination you can request an export of your records for 30 days, after which we may delete them, subject to the retention limits in the privacy policy. Ending a subscription does not delete your animal history on its own: records return to Free-tier access, and you cannot add animals while above the Free limit.

10. Intellectual property

The AnimalTrace name, wordmark, software, and site content are the property of AnimalTrace, Inc.. These terms grant you a limited, non-exclusive, non-transferable right to use the Service; they transfer no ownership. Do not use our name or marks in a way that implies endorsement without permission. If you send us feedback, we may use it without obligation to you.

11. Third-party sources and recipients

The Service connects to systems we do not control, including laboratories, registries, and payment and email providers, and lets you share records with recipients you choose. We are not responsible for the accuracy of what a third-party source supplies, nor for what a recipient does with something you shared with them.

12. Disclaimer of warranties

Except where the law does not allow it, the Service is provided "as is" and "as available", without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, non-infringement, and any warranty that the Service will be error-free or that any analysis or extraction will be accurate or complete.

13. Limitation of liability

To the fullest extent permitted by law, AnimalTrace, Inc. is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or breeding or commercial opportunity, arising from your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the event giving rise to the claim.

Nothing here excludes liability that cannot lawfully be excluded.

14. Indemnity

You will indemnify AnimalTrace, Inc. against claims arising from content you upload, your use of the Service in breach of these terms, or your infringement of a third party's rights.

15. Governing law

These terms are governed by the laws of the State of Delaware, United States, without regard to its conflict-of-laws rules, and the state and federal courts located in Delaware have exclusive jurisdiction over any dispute.

16. Changes to these terms

We may update these terms. For material changes we will notify account holders by email at least 30 days before they take effect. Continuing to use the Service after that means you accept the updated terms.
